Email Deliverability Guide
Everything you need to know to land in the inbox — not the spam folder.
01 What is Email Deliverability?
Email deliverability refers to your ability to successfully land emails in your subscribers' inboxes — as opposed to spam folders, promotions tabs, or being blocked outright. It's affected by dozens of factors including authentication, sender reputation, list quality, and content.
A high deliverability rate doesn't just mean your emails were sent — it means they were received and placed in the inbox. BouncePro monitors all key deliverability signals and alerts you when something needs attention.
02 Email Authentication
Authentication proves to receiving mail servers that you are who you say you are. Without it, your emails are far more likely to land in spam.
SPF (Sender Policy Framework)
SPF specifies which mail servers are authorized to send email on behalf of your domain. Add this TXT record to your DNS:
DKIM (DomainKeys Identified Mail)
DKIM adds a cryptographic signature to every email you send, proving it hasn't been altered in transit. Add the CNAME record provided in your BouncePro domain settings.
DMARC (Domain-based Message Authentication)
DMARC tells receiving servers what to do when an email fails SPF or DKIM — reject it, quarantine it, or let it through. Start with a monitoring-only policy:
03 Sender Reputation
Your sender reputation is a score that ISPs (Gmail, Outlook, Yahoo) assign to your sending IP and domain. It's based on your sending history, engagement rates, and spam complaints.
Key Factors That Help Reputation
- High open and click rates from engaged subscribers
- Low bounce rate — ideally under 2%
- Low spam complaint rate — ideally under 0.1%
- Consistent sending volume — avoid sudden spikes
- Sending to opted-in, engaged lists only
Key Factors That Hurt Reputation
- High bounce rates from invalid email addresses
- Spam complaints — even a 0.3% rate can trigger filtering
- Sending to purchased or old, unengaged lists
- Sudden large volume spikes from a new domain
- Missing or failed authentication records
04 List Hygiene
A clean list is a deliverable list. Regularly removing invalid, inactive, and unengaged addresses is one of the most effective things you can do for deliverability.
- Remove hard bounces immediately — BouncePro does this automatically
- Suppress unsubscribes — automatically managed by BouncePro
- Re-engage or remove inactive subscribers — contacts who haven't opened in 6+ months
- Use double opt-in — confirms email addresses are valid and reduces spam traps
- Never import purchased lists — they contain spam traps that will destroy your reputation
05 Content & Spam Filters
Spam filters analyze the content of your emails before deciding where to place them. Certain patterns trigger filters automatically.
Avoid These Spam Triggers
- ALL CAPS subject lines or body text
- Excessive exclamation marks!!!
- Spam words: "FREE", "GUARANTEED", "ACT NOW", "CLICK HERE", "NO RISK"
- Too many images and not enough text (aim for 60% text / 40% images)
- Broken or missing unsubscribe links
- Mismatched or deceptive subject lines
06 IP Warm-Up
If you're on a new dedicated IP address, you need to gradually increase your sending volume over several weeks. Starting with large volumes immediately signals suspicious behavior to ISPs.
Recommended Warm-Up Schedule
- Week 1: 500–1,000 emails/day to your most engaged subscribers
- Week 2: 2,000–5,000 emails/day
- Week 3: 10,000–20,000 emails/day
- Week 4+: Scale to full volume
BouncePro Premium plan includes dedicated IP access and an automated warm-up tool that handles this process for you.
07 Monitoring & Troubleshooting
Watch these metrics in your BouncePro dashboard after every send:
- Open rate below 15% — possible spam folder placement or subject line issues
- Bounce rate above 3% — list hygiene problem; remove invalid addresses
- Spam complaints above 0.1% — urgent: review list quality and content immediately
- Unsubscribe rate above 0.5% — content or frequency mismatch with subscriber expectations
